How we collect, use and protect personal data, and the rights you have over it. We have designed this website to collect as little as possible.

1. Who is responsible for your data
Modern Minds (“we”, “us”, “our”) is the data controller for personal data processed through this website and in the course of our services. If you have any question about this policy or want to exercise your rights, contact us at info@modern-minds.ai.
2. Our approach: data minimisation by design
This website is built to respect privacy. We self-host our fonts and we do not run advertising or cross-site tracking. We set no analytics cookies unless you accept them, and the booking calendar loads only after you actively choose to open it, so no third-party code runs unless you ask for it.
3. What personal data we collect
Information you give us
When you email us or book a call, we receive the details you choose to share — typically your name, email address, company and whatever you tell us about your needs. If you book through our scheduling tool, you also provide a chosen time and any information requested on that form.
Information collected automatically
Like any website, our hosting provider records basic technical data in server logs (for example IP address, browser type, pages requested and timestamps) to deliver the site securely and diagnose problems.
The self-assessment tool
The EU AI Act self-assessment runs entirely in your browser. Your answers are not transmitted to us or stored on our servers; they stay on your device.
4. Why we use your data and our legal basis
- To respond to enquiries and provide services — legal basis: performance of a contract, or our legitimate interest in replying to you.
- To arrange and hold meetings you request — legal basis: your consent / steps taken at your request before entering a contract.
- To keep the website secure and working — legal basis: our legitimate interest in a safe, reliable service.
- To meet legal and accounting obligations — legal basis: compliance with a legal obligation.
Where we rely on consent, you can withdraw it at any time.
5. Cookies and analytics
We do not use advertising cookies. When you first visit, we ask whether you accept analytics cookies. If you accept, we use Google Analytics 4 to understand, in aggregate, how the site is used; if you decline, no analytics cookies are set and Google Analytics is not loaded at all. You can change your choice at any time through the “Cookie preferences” link in the footer. Separately, if you open the booking calendar, our scheduling provider may set cookies needed for that tool to work.
6. Who we share data with
We do not sell your personal data. We share it only with service providers who help us operate, acting on our instructions under appropriate agreements, including:
- Hosting — our website host, which stores the site and keeps server logs.
- Scheduling — the booking tool used when you choose to book a call.
- Email — the provider through which we send and receive email.
- Analytics — Google Analytics 4 (Google LLC), loaded only if you accept analytics cookies, to measure site usage in aggregate.
We may also disclose data where required by law.
7. International transfers
Some providers may process data outside the UK or the European Economic Area. Where that happens, we rely on an adequacy decision or appropriate safeguards, such as the UK International Data Transfer Agreement or the EU Standard Contractual Clauses.
8. How long we keep it
We keep personal data only as long as needed for the purpose it was collected, to maintain our client relationship, or to meet legal obligations. Enquiry correspondence that does not lead to an engagement is deleted within a reasonable period.
9. Your rights
Under the UK GDPR and EU GDPR you have the right to access your data; to have inaccurate data corrected; to have data erased; to restrict or object to processing; to data portability; and, where we rely on consent, to withdraw it. To exercise any of these, email info@modern-minds.ai.
If you are unhappy with how we handle your data, you can complain to the UK Information Commissioner’s Office (ico.org.uk) or to your local data protection authority in the EEA.
10. Data security
The site is served over HTTPS, and we take reasonable technical and organisational measures to protect personal data against loss, misuse and unauthorised access. No method of transmission over the internet is completely secure, but we work to protect your information and keep our practices under review.
11. Children
Our services are aimed at businesses and are not directed at children. We do not knowingly collect personal data from anyone under 16.

We may update this policy from time to time. The version on this page, with the date shown above, is the current one.
