These terms govern your use of the Modern Minds website and the services we provide. Please read them carefully.

1. Who we are
“Modern Minds”, “we”, “us” and “our” refer to Modern Minds, a provider of AI automation and EU AI Act readiness services for small and medium-sized businesses. “You” and “your” refer to the person or organisation using our website or engaging our services. You can reach us at info@modern-minds.ai.
2. Acceptance of these terms
By using this website or engaging our services, you agree to these terms. Where we agree a separate written proposal, statement of work or service agreement with you, that document takes precedence over these terms to the extent of any conflict.
3. Our services
We design, build, run and maintain practical AI automation, and we help you understand and prepare for your obligations under the EU AI Act. Our compliance and readiness work consists of assessments, documentation and practical guidance. It is not legal advice and does not determine your legal obligations. Where formal legal sign-off is required, we work alongside partner law firms in the UK and Germany, or with advisers of your choosing.
4. Quotes, fees and payment
Prices shown on this website are indicative and stated in pounds sterling (£) unless agreed otherwise. Fixed prices, ongoing plan fees and any applicable taxes are confirmed in your proposal or service agreement before work begins. Unless stated otherwise, invoices are payable within the period set out in that agreement. Ongoing plans continue until cancelled in line with clause 10.
5. Your responsibilities
To deliver our services we rely on you to provide timely access, accurate information and any approvals we reasonably need. You are responsible for ensuring that the data and materials you give us can lawfully be used for the agreed purpose, and for decisions you take on the basis of our work.
6. Ownership of tools, workflows and data
We build on infrastructure and accounts owned by you. The automations, workflows and configurations we create for you, and the data they process, are yours. On request at the end of an engagement we will hand over access and documentation so you are never locked in.
We retain ownership of our own pre-existing methods, know-how, templates and generic components, and of any tooling we reuse across clients. Nothing in these terms transfers that background material to you, though you may of course continue to use the systems we have delivered to you.
7. Third-party services
Our work often relies on third-party platforms, AI models and APIs (for example model providers, hosting, and scheduling or messaging tools). Those services are governed by their own terms, and their availability, behaviour and pricing are outside our control. We select and integrate them with care but do not warrant their continued operation.
8. Confidentiality
Each party will keep the other’s non-public information confidential and use it only to perform or receive the services. This does not apply to information that is or becomes public through no fault of the receiving party, or that must be disclosed by law.
9. Data protection
We process personal data in accordance with applicable data protection law, including the UK GDPR and the EU GDPR where relevant. Where we process personal data on your behalf, we will do so under a separate data processing agreement. 10. Term and cancellation
Project work runs until the agreed deliverables are complete. Ongoing plans (such as Automation Care and Compliance Guard) renew each month until cancelled, with the notice period stated in your agreement. On termination, any fees for work performed or for the current plan period remain payable, and we will provide a reasonable handover of access and documentation.
11. Warranties and disclaimers
We provide our services with reasonable skill and care. Because AI systems, third-party tools and regulations change over time, we do not guarantee specific business outcomes, uninterrupted operation, or that any system will be free of errors. The website and its content are provided for general information and do not constitute legal, financial or professional advice.
12. Limitation of liability
Nothing in these terms limits liability that cannot be limited by law, including for death or personal injury caused by negligence, or for fraud. Subject to that, we are not liable for indirect or consequential loss, or for loss of profit, revenue, data or goodwill; and our total liability arising out of or in connection with an engagement is limited to the fees you paid us for that engagement in the twelve months before the claim.
13. Changes to these terms
We may update these terms from time to time. The version published on this page, with the date shown above, is the current one. Material changes affecting an active engagement will be discussed with you.
14. Governing law
These terms are governed by the laws of England and Wales, and the courts of England and Wales have non-exclusive jurisdiction over any dispute. Where you contract with us as a consumer in another jurisdiction, you may benefit from mandatory protections of your local law.
